Duties and responsibilities The Bookkeeper/ Administrative Assistant must be able to multi-task and complete administrative assignments to ensure the office operates efficiently and smoothly! Duties and responsibilities include but are not limited to the following:
Perform clerical duties such as filing, photocopying, and scanning Receive, sort and distribute daily mail/deliveries Working with the HR/Office Manager and the Financial Controller to complete all administrative duties in the office and ensure that office is operating smoothly Complete basic data entries including expenses, invoices, payables, receivables and related bookkeeping functions; able to produce all work with a high level of accuracy Provide other administrative support as necessary, including scheduling group meetings/taking notes, maintaining calendars, doing research, scheduling hotels/airlines, and keeping records (tools, trailers, etc.
).
Maintain supply inventory by checking stock to determine inventory level, anticipating needed supplies and expediting orders for the office Answering phones and responding to all customer inquiries in a polite and timely manner Qualifications Strong interpersonal skills to interact positively with all customers, vendors and employees Attention to detail to ensure tasks are completed thoroughly and correctly Familiarity with Microsoft Office Suite and Google programs Experience with bookkeeping, including accounting entries, expenses, invoices, accounts payable, accounts receivable, expense processing, invoice processing, payroll and related accounting functions preferred Experience with QuickBooks Online Demonstrated ability to learn new software applications quickly with minimum support Strong written/verbal communication skills to produce reports, accept instructions/follow thru on all tasks until complete and handle vendor contracts, among other tasks Hands on experience with office machines (e.
g.
copiers, scanners, printers) Excellent time management skills and ability to prioritize work Organization and the ability to multitask to complete a wide variety of tasks Flexibility to learning new tasks if the company or office needs change Working conditions The Bookkeeper/Administrative Assistant works mostly in a traditional office setting.
Hours are Monday-Friday 8am to 5pm.
Activities include extended periods of sitting while working at a computer and occasional fast-paced operations and events.
May be exposed to loud sounds and distracting noise levels, such as from office equipment.
Physical requirements:
No heavy lifting is expected.
May require occasional lifting up to 20lbs.
Sitting for extended periods of time at a desk and working on a computer.
